Every day, the front desk becomes the busiest place in a dental practice: Patients check in while the phone rings; someone needs insurance verification all while a parent asks about scheduling an appointment. In the background, the hygienist needs assistance. The dentist is waiting for paperwork. These are manageable tasks on their own. The greatest challenge for front office teams is that these are all happening simultaneously.

The current state of the front office is overloaded; doing much more than answering calls. They take care of all front desk tasks, while acting as the hub of the entire practice. As patient expectations continue to rise along with urgency, so do the demands on the people behind the front desk.

To understand the front desk better, we set up phone interviews with several dental office managers from California. An office manager for a pediatric dentist spent more than twenty years at the same practice and has managed the front office for the past eight years. The office manager told us that after the practice downsized, she became the only person managing the front desk. Her biggest challenge isn’t learning new technology, it’s finding time to do it all.

"It's hard to work on something and answer calls at the same time,” she said. This reality is familiar to dental practices everywhere.

Technologies like Artificial Intelligence (AI) can support staff and streamline these processes.  

What is the Cost of One Missed Call?

In our interviews we learned that dental office managers are busy. One dental office manager told us he simply didn’t have time to talk because he was working 9-10 hour days. In another scenario, we scheduled an interview with an office manager for a multi-location practice. She agreed to the call, however, on the day of the meeting her receptionist called in sick, and she was left managing a dual role.

What our interviews showed us is that office managers are overwhelmed often handling multiple roles, while managing phones and Practice Management Systems (PMS). In today’s modern dental practice, missed calls are typical.

Research shows that nearly one-third of inbound calls to dental practices are left unanswered during business hours, while 86% of potential patients won't leave a voicemail; they will simply contact another practice (1)(2). For many dental offices, the lifetime value of a single new patient can exceed $10,000, making every missed call far more important than a scheduling inconvenience (3). An unanswered call can mean lost revenue and perhaps a negative reputation or review. However, the solution isn’t always hiring another receptionist.

A Backup Receptionist?

More dental offices are turning to AI to help overextended teams. Many are beginning to view AI as a backup receptionist that is always available to answer routine questions, capture patient information, and provide immediate assistance whenever the front desk is occupied.

One office manager emphasized the importance of her connections with every family. Patients appreciate speaking with familiar employees who understand their history and in a welcoming environment. But patients also expect quick answers, even when every employee is helping someone else.

A digital backup allows the team to remain focused on patients in the office while ensuring every call gets a response. For example, if Donna, the office manager, is with a patient and the phone rings, the backup receptionist answers after a set number of rings. The backup receptionist answers the call in a human-like voice: “Hi, I’m AMI. Donna is currently helping a patient, but I can assist you with appointment requests or office info, and many other things. Please tell me, how can I help?”

Healthcare AI Delivers Results

AI has already proven to streamline efficiency and patient satisfaction in healthcare. A capable digital assistant answers questions about services, procedures, and insurance, as well as standard info about the office. They help patients complete pre-appointment paperwork ahead of time, ensuring that each appointment is streamlined and set up for success. AI assistants speak in multiple languages. They capture appointment requests 24x7 to assist existing patients while never missing an opportunity to respond to new patients. They can also accept payments and personalize conversations based on factors unique to each patient.

In one healthcare implementation, patient onboarding was completed 240 times faster than traditional methods, allowing the organization to streamline new patient intake. The AI health assistant helped convert approximately 40% of website visitors into prospective patients by immediately engaging in conversation and guiding them toward the next step (4). Beyond faster onboarding and increased conversion, the healthcare office gained new insight into the patient journey.

When talking to office managers we discovered that there is not a straightforward way to collect patient feedback. Typically surveys or questionaries are shared with patients and offices rely on patients to spend time providing feedback. Feedback is an important tool for growing dental practices.     Patients often need assistance outside of office hours. A good AI solution should be available 24x7x365.
  • Can it answer questions about our specific practice?
    Patients want accurate information about your office and your offerings.
  • Can it sound like our practice?
    Patients should feel like they're interacting with an extension of your team. Something as simple as, "Ashley is helping another patient right now, but I'd be happy to assist you," creates a much warmer experience than, "Your call is important to us." Personalization builds trust and reassures patients they're in the right place.
  • Does it sound conversational and natural?
    The best AI solutions create a seamless experience that feels helpful and natural.
  • Can it help patients take the next step?
    Whether scheduling an appointment, requesting a callback, completing intake forms, or electronically signing required documents, AI should help guide patients forward.
  • Can it securely collect patient information?
    Any AI solution should protect patient information and align with your practice's security requirements. A HIPPA compliant solution should be at the top of your evaluation criteria list.
  • How do we ensure approved answers every time? There is no room for misinformation or hallucinations when it comes to healthcare. Ask about the combination of Deterministic AI paired with Generative AI to ensure accuracy.
  • Can we easily update information ourselves?
    Practices are always evolving; office hours change, insurance contracts are updated, real life and holidays happen. Information should be easy to update without relying on IT with every change.
  • Does it provide meaningful analytics?
    Every conversation reveals where patients need more help. A reporting dashboard should show you how your practice can continuously improve.
  • Does it help our front office instead of displacing it?
    Being there for your team should always be the primary goal, and any technology investment should align with your goals.
  • Can we start small and expand over time?
    You shouldn't need a lengthy implementation or major IT investment to begin realizing value. Seek out solutions that are easy to deploy as well as manageable that can grow with your practice.

Tip: When evaluating AI solutions, don't just focus on what technology can do. Ask how it will improve the experience while reducing administrative burden.

During our conversation with the office managers, one explained that she has a unique connection with every family. Cultivating and nurturing those relationships is something special. However, technology should protect it. When repetitive daily tasks can be handled automatically, employees are empowered to focus on what matters most: Caring for patients. Having a reliable backup receptionist may be one of the most valuable “hires” dental practices can make.
