Practice Production Prioritized: The amazing power of great customer service
Customer service is one of the most talked about and consistently implemented—but least understood—systems in dental practices. Most practices do fine when it comes to customer service because their teams are kind and genuinely like their patients, but that’s very different from having a structured system that consistently impresses every patient each day.
Developing a customer service system
Here are three strategies to help you build a customer service system that elevates your practice, increases referrals, and improves collections and overall income.

Start with a team meeting. A powerful way to launch any initiative is to gather your team for a “kickoff” meeting. Begin by acknowledging the great work they’ve already done and then explain that the goal is to take the practice to the next level—and that exceptional customer service is essential for continued growth, attracting new patients, and long-term success. Emphasize that customer service is not just a concept, but a system that requires consistency, effort, and accountability—and that it delivers measurable results.

Reinforce the importance of repetition. As the practice leader, set clear expectations for consistent behaviors patients should experience at every visit. For example:

Greet every patient with enthusiasm. Ask how they are—and truly listen. Let them know you’re happy to see them and that you’ve been looking forward to their visit.

Learn one new thing about every patient at each visit. Personal connection strengthens relationships and directly supports case acceptance.

Provide positive reinforcement throughout treatment. Whether it’s during hygiene or clinical care, patients appreciate hearing what’s going well.

Educate patients about new technologies, services, or upgrades. This positions your practice as progressive and builds confidence.

Help patients navigate insurance. Many find it confusing and frustrating; guiding them through it demonstrates care and support.

End every visit with positive, consistent language. For example: “Mrs. Jones, it was a pleasure seeing you today. We truly appreciate having you as a patient and look forward to your next visit.”

Ask for feedback every time. One of the most effective ways to both impress patients and gather insight is to ask this simple, consistent question at checkout: “Mrs. Jones, how was your visit today?”
Because most responses will be positive, this also creates a natural opportunity to request an online review. Practices have gone from getting a handful of reviews to hundreds within a year using this approach.
If the feedback is less than positive, it should be shared with the doctor at the end of the day (rather than disrupting the schedule midday). The doctor should then personally call the patient that evening to understand what happened and ensure it is addressed. Patients who receive this level of attention often become some of the most loyal and appreciative advocates for the practice.
There are countless ways to wow patients. Look to organizations like The Ritz-Carlton or Disney, where exceptional service is embedded in the culture. They consistently ask if there’s anything more they can do and always leave customers with a positive final impression.
These habits can be adopted in your practice: compliment patients, thank them sincerely, express appreciation, and personally acknowledge referrals with a phone call. Ultimately, it comes down to intention and creativity—but once you define your strategies, they must be applied consistently, for every patient, every day.
